Docs (Knowledge Management)

Docs is Starhive's knowledge base. Write a page, put it in a folder, decide who can see it, and talk about it in comments — alongside the objects and spaces the workspace already holds.

Getting started​

Docs sits in the sidebar, directly above Spaces — open it for the views on the left, and your folders underneath them.

Write your first doc: open Docs → New doc (the title is pre-selected, type straight over it) → press Enter or click into the body and start writing (type / for the block menu) → Publish to save it (nothing is stored until then; Cancel discards the draft) → Share to let others see it (a new doc is private to you until you do).

Finding your way​

Five views, each answering a different question — all lists of docs; folders live in the tree underneath, so a list never mixes the two.

Every list shows name, tags, contributors, dates, and sharing; sort newest/oldest, and filter by tag (the tag menu shows a count behind each). Under the views, Folders is the tree — click a folder to open its page, click the chevron to see what's inside.

The top-bar search finds docs as you type, listed under their own heading alongside objects and spaces — searching both title and body, with title matches first, and partial words matching (e.g. onboard che finds Onboarding checklist). Search only shows docs you can see, and excludes archived docs (look in the Archived view for those).

Writing a doc​

A doc is a title and a body. Edit to change it; Publish keeps the change, Cancel drops it — there's no autosave, and every save becomes a version you can restore.

The body is rich text: paste from anywhere, drag in an image, / for the block menu, : for emoji, @ to mention someone (they're notified).

/Ask Nova writes or rewrites the passage you're on, without leaving the doc.

Panels set something apart — click inside one for a bar to change its kind, swap the icon for any emoji (or remove it), and pick a background from six colors in three strengths.

Expand is a clickable heading with content underneath, always closed on open so a long doc stays readable; the cursor being inside one opens it until you close it with the chevron.

Tables have a header row that stays in view while scrolling, resizable columns, and cell colors; a too-wide table scrolls sideways on its own.

Files on a doc​

Show attachments lists a doc's files, newest first, with size, who added them, and when.

Three ways to add a file, all ending up in the same list: drop onto the Attachments panel, drag a file straight into the writing (an image renders as an image; anything else as a downloadable named file), or type / → Attachment. A file dropped into the writing is attached to the doc as well as shown in it — editing it back out of the writing doesn't remove it from the doc.

A file can be up to 100 MB, and counts toward workspace storage (the same allowance objects' files use).

Exporting a doc as a PDF​

… menu → Export as PDF — downloads under the doc's name, as a copy of the published version (never an unpublished draft). One doc at a time; exporting a whole folder isn't available yet.

Where something can't be drawn (a deleted file, an image that never finished uploading, an image too large for the export), the PDF says so in place rather than leaving a gap.

Folders and tags​

Folders are made from the sidebar (+ beside Folders, or a folder's own New folder); Move to… relocates a doc or folder. Tags cut across folders — add them from a doc's details panel, and lists filter by them.

Who can see a doc​

Corrected

Confirmed against DocRestrictionType — there are three states, not two; the default isn't "private," it's Inherited.

A new doc or folder starts as Inherited — it has no restriction of its own, so the closest restricted ancestor folder decides who can see it (a doc in an unrestricted tree is effectively open to the workspace until something upstream restricts it).

Folders pass their sharing down — everything inside follows the folder's sharing unless a doc has been shared more narrowly on its own (i.e. set to Open or Restricted rather than left Inherited); moving a doc into a folder moves it onto that folder's sharing unless it carries its own.

Locked out

If a restricted doc's only accessible people have left, the workspace owner can use Take access to grant themselves edit rights — everyone with existing access is notified.

Comments and reactions​

Reply to start a thread, @-mention to bring someone in, react with an emoji. You can edit/delete your own comments; workspace owners and admins can delete anyone's. Deleting a comment deletes its replies (with a warning first).

Versions and details​

Every save adds a version — Version history to read or restore an earlier one (restoring keeps history rather than rewriting it). Show details shows the owner, created/updated dates, contributors, read count, word count, and tags.

Archiving and deleting​

Archive removes a doc from the lists into the Archived view (archiving a folder archives its contents). An archived doc stays readable but not editable, shareable, taggable, or commentable, and nothing new can be created inside an archived folder. Restore puts it back; Delete for good is permanent.

Sharing is per doc and per folder, and is separate from space permissions — a doc doesn't live inside a space.
